Important Things to Know:
- One Property Account Number: Each property (address) has ONE unique account number, even if multiple named owners exist. Generally, we list no more than two people as Owners of any one Property. Even if you consider other household residents as "owners," the proper term here would be Member. When someone lives with the Owner at the same property, they are a "Household Member." If the owner does not live in the property, the resident is a "Tenant Member."
- Member Drop Down Menu: This menu appears when you select the down arrow near your name in the upper right-hand corner of your browser or the menu option within the mobile app (often three bars).
Step 1: Await Your Invitation and Create Your Account
Use your property account number or registered email address to create an account. You may do this using a standard web browser or the mobile app.
Key Points:
- Account Balance: You can view and pay any balance due online. ACH / eCheck fees are $0, but credit card fees are passed on to you if you use a credit card.
- Multiple Owners: Having more than one named owner for one property is acceptable. If we had more than one name and email address, we imported up to two contacts. Each can create a separate online account, even though they share the same property account number.
- Adding Owners or Email Addresses of Owners: You cannot add Owners or Owners' email addresses on your own. If you need an Owner name or email address added, please send this information along with the Property address to info@mustangcreekhoa.com
- Multiple Properties: Owners with more than one property can link their accounts into one account. Start by using one account number to create your portal account, then follow the instructions to add additional parcel account numbers to your single online account. To add an additional parcel account, go to the Member Drop Down Menu and select "Accounts." Follow the directions to add accounts and provide your other property account numbers.
- Adding Occupants: See below, Step 3.
- Exceptions: If you have a circumstance not listed, or if you are a renter/tenant and do not receive an invitation from your owner, email us at info@mustangcreekhoa.com with your address, name, email address, and mobile number.
Step 2: Set Up Your Profile
Using the drop-down menu from your name (upper left corner on the browser or the three bars in the mobile app), select "Profile Settings."
- Privacy Settings: These settings control whether other members can see your address, phone number, and email address. You may choose to show one or all three in the member directory. By default, these are all off. Feel free to change these if you feel comfortable doing so. Your information will not be pushed to our public website and is only viewable to members who are registered and logged in to the system.
- Notifications: I encourage you to leave the default notifications as they are and look to limit things later if needed. The notification options are shown when you click on "Notifications, " a tab on the left side of the screen just above "Profile Settings."
Step 3: Add Occupants
Once logged in, owners can add non-owner occupants, whether Household Members (whether family or roommates), or Tenant Members. To do this, go to the drop-down menu near your name at the top right of your browser (or three bars/menu in the mobile app) and select "Occupants," then click "Create Occupant." Select "Household Member" for family members or roommates who live with the owner in the property. If you rent your home, select "Tenant Member" for your tenants.
Features
The Member Portal's home page provides a lot of information. The following features are active now, and while each will expand, there are also future features coming soon!
Active Now:
- Account Payments: They are generally on your home page, but can also be accessed on the Member Drop-Down Menu as "Accounts."
- Groups: Includes member types, committees, and more.
- Residents: Listing of residents.
- Pet Registry: Register your pets here.
- Forums: These are broken into categories, including some categories limited to select committees or groups to conduct their business.
- Messages: Messages to and from you.
- News and Events: Listings of news and events.
- Requests: Select a category and have the system route the request to the most relevant person or group.
Future Features
In addition to expanding the above, here are more features coming soon:
- ARC (Architectural Review Committee, which we call Building Committee) module
- Amenity Reservations (in process)
- Document Storage: Including more public documents (covenants) and storage for groups.
- Surveys
And that is not all…
Much of the new is what you don’t see. Behind the scenes is all the automation, direction, redirection, and a lot of interaction. Payment processing automatically posts to the Property Account, the HOA books, and the HOA bank account. Financial reports are available to the Board in (near) real time and easily shared with others. Transparency redefined the way it should be.
